Most brands buy Gorgias, connect Shopify, and call it done. Six months later the ticket count is the same, the team is still typing the same three answers by hand, and someone asks why the “AI helpdesk” isn’t doing anything. It’s not a Gorgias problem. It’s a setup problem — the software was installed, not configured.
We saw this directly building the CX stack for Hinge Outlet and Wild West Hardware. Before LCL3, support was a shared inbox and a spreadsheet. No order data on the ticket, no rules routing by intent, no macros for the questions that repeat every single day. Every ticket was a cold start for whoever picked it up.
What “connected” actually means
Gorgias syncing to Shopify is a checkbox, not a strategy. A ticket that shows order status, tracking, and purchase history the second it opens is a different thing than a ticket that still requires someone to tab over and search an order number. The first cuts handle time in half. The second is the shared inbox with a nicer UI.
Setup that works has three layers, in order:
- Rules that route by intent — WISMO, returns, damage claims, and wholesale inquiries do not go to the same queue or get the same response time.
- Macros written from real transcripts, not generic templates — the actual phrasing customers use, mapped to the actual answers that resolve the ticket in one reply.
- Gorgias AI or Automate trained on that macro library, with a human review gate on anything involving a refund, a damage claim, or a VIP account — not full autonomy from day one.
Where most tickets are hiding
“Where is my order” is usually 40 to 60 percent of volume for a brand shipping physical product, and almost none of it needs a person. If tracking, ETA, and delay messaging are not proactively surfaced through Shopify and the carrier feed before the customer has to ask, the helpdesk is absorbing a problem that should have been solved upstream in fulfillment and email, not downstream in a ticket.
That’s why we treat Gorgias as one piece of the CX stack, not the whole thing. For Hinge Outlet, the fix that mattered most wasn’t a helpdesk macro — it was getting Cin7 and ShipStation talking to Shopify so tracking and inventory status were accurate before a customer ever opened a ticket. Fewer WISMO tickets beats a faster WISMO macro.
The gate that keeps automation safe
Every automated reply, refund rule, or auto-tag we ship has a human checkpoint on anything with money, a damage claim, or account access attached. Automation earns more autonomy over time as the macro library proves out, not on day one. That’s the same principle we apply to every AI agent LCL3 deploys internally — automate the repeatable ninety percent, keep a person on the ten percent that has real consequences if it’s wrong.
Where to start
If your ticket volume hasn’t moved since you turned on Gorgias AI, the software isn’t the gap — the configuration is. We audit the queue, build the routing and macro library from your actual tickets, and fix the upstream fulfillment or email issue that’s generating volume in the first place. Reach out through Work With Us or at info@lcl3.com. We’re at 44 Milton Ave, Alpharetta, GA 30009. (470) 447-0496.
A helpdesk is only as good as what feeds it. Fix the feed, and the helpdesk finally does the job you bought it for.
